There are multiple factors impacting the number of records you can view in your Catapult Analytics Tools, including:

Microsoft Excel Pivot Table Comparison - Catapult Analytics is built on the Microsoft Excel© framework and contains the following Microsoft pre-set limitations for pivot tables.

If you are an Excel 2003 user and you download more than 32,500 buyers (2003 pivot table limit for grouping) from Catapult, you may receive the following warning message: "A field in your source data has more unique items than can be used in a PivotTable report. Microsoft Excel may not be able to create the PivotTable report or may create the PivotTable report without the data from this field".
In other words, if you are an Excel 2003 user (Excel 2007 users will be fine) and you export Query Results from Catapult with a buyer count exceeding 32,500, you will receive the warning message for the "Top Buyers" and "Sale & Lease Cycle" reports.
Because these two reports display buyers in a unique row. Any buyer count exceeding 32,500 cannot be displayed in these two reports. The other five reports such as the “Hot Spots” and “Manufacturer Market Share” would not generate the same warning message, because they are not attempting to display all 32,500+ rows of unique fields.
